How to book appointments on WhatsApp and cut no-shows

How to set up free slots, confirmation, rescheduling and cancellation in a calendar connected to WhatsApp, so your clinic stops losing time to "what times do you have?" and to the patient who doesn't show up.

In a clinic, a practice, a salon or a studio, WhatsApp has become the front desk. The patient messages asking for a time, the receptionist checks the calendar, offers two days, the patient replies hours later, the slot has been taken, and the conversation starts over. Even when a time is finally booked, there's still the risk they won't show up.

Every empty chair is paid time that wasn't sold. This article shows how to organize booking on WhatsApp so you spend less time scheduling and lose fewer appointments.

Where booking on WhatsApp usually breaks down

Too much back and forth. "Do you have Thursday?" "Thursday only at 4 pm." "Anything in the morning?" Every question is a message, and every answer takes time.

The calendar lives somewhere else. Paper, a spreadsheet, the phone calendar of whoever is answering. The person replying has to open something else to know what's free, and two people can promise the same slot.

Nobody confirms. The appointment was booked two weeks ago. The patient forgot, or something came up and they didn't say.

Rescheduling is a chore. The patient warns at the last minute, the front desk looks for another time, and the slot that opens up rarely gets filled.

Cancellations with no warning. When the patient disappears, the slot stays empty and nobody knows whether they're coming.

Five parts of good scheduling

1. Define what a calendar is

A calendar is anything with time slots to book: a professional, a room, a service. A clinic with three doctors has three calendars. A salon can have one per stylist or one per service.

For each calendar, set:

  • Days and opening hours. Monday to Friday, 8 am to 6 pm, for example.
  • Length of each slot. A 30-minute consultation, a 45-minute haircut.
  • Gap between slots. Ten minutes to switch patients or tidy the room.
  • Minimum notice. There's no point offering a slot in twenty minutes if nobody can get there.
  • How many days ahead. People who book six months out tend to forget.

2. Show only slots that are truly free

The most common mistake is offering a slot that's already taken. That's why the person answering and the person booking need to look at the same calendar, and that calendar has to know what's free and what isn't.

Block holidays, vacations and days off. If the practice closes on Christmas, the system can't offer the 25th.

3. Let the customer choose

The fastest way to book is to show a short list of the next free slots and ask the customer to reply with the number of the option. No back and forth, no waiting for the front desk.

If there are no slots, or the person wants to talk to someone, the conversation needs a clear way out to a human agent.

4. Confirm right away and remind them before

As soon as the slot is booked, send a confirmation with the calendar, the day and the time, and say how to reschedule or cancel. The customer keeps the information and knows there's an easy way to change it.

Close to the day, send a reminder that asks for a simple reply:

Reminder: appointment tomorrow, 2:30 pm. Reply 1 to confirm, 2 to cancel or 3 to reschedule.

The easier it is to answer, the more people answer. A cancellation made in advance is a slot that can still be reused. An "I can't make it" at appointment time is not.

5. Treat no-shows as data, not surprises

Record who came and who didn't. After a few months you see patterns: late Friday slots have more no-shows, a certain kind of appointment needs an earlier reminder, a certain patient often cancels.

With that you can act: a reminder sent earlier, required confirmation for the slots that fail most, a waiting list to fill gaps.

A simple flow, start to finish

  1. The customer writes: "I'd like to book an appointment".
  2. The chat shows the next free slots of the right calendar.
  3. The customer replies with the number of the slot.
  4. The confirmation arrives immediately, with instructions to reschedule or cancel.
  5. A few hours before, the reminder arrives. The customer replies 1, 2 or 3.
  6. If they asked to reschedule, they see new options. If they cancelled, the calendar frees the slot.
  7. At the appointment, the team marks whether the customer came.

Care with the message

  • Sound like your practice. A short, friendly tone works better than form-letter text.
  • Don't send sensitive details. The message should say day, time and place, not the reason for the visit.
  • Respect the hour. A reminder in the middle of the night is annoying.
  • Leave a human exit. Someone with a different situation needs to be able to reach a person.
  • Mind consent. Follow the data protection rules that apply to you and tell clients you'll send confirmations and reminders.

How to do this in IntegraWhats

IntegraWhats has a Calendar connected to WhatsApp. You create calendars (a professional, a room or a service), set days, hours, slot length, gap, minimum notice and how many days ahead they accept bookings, and block holidays and days off.

Your team books from the dashboard. For customers to book on their own, you create an option in the triage menu that leads to the calendar: they get the list of free slots and reply with a number. The confirmation follows by message, with the option to reschedule or cancel by replying in the same conversation.

Each calendar can send a reminder a few hours before, which the customer answers with 1 to confirm, 2 to cancel or 3 to reschedule. An appointment can be marked as confirmed, done or "no-show". If your team cancels an appointment, the customer gets a WhatsApp notice. If you run your own system, you can also check slots and create, reschedule and cancel appointments through the API.

Frequently asked questions

Can customers book on their own, without the front desk?

Yes, once you create a triage menu option that leads to the calendar. They see the next free slots and pick one by replying with its number. If they'd rather talk to someone, there's an option to call an agent.

Is the reminder automatic?

Yes, if the calendar has the reminder field filled in. You choose how many hours before it goes out. If you leave the field empty, the calendar works without a reminder.

What happens if two customers pick the same slot?

Whoever confirms first gets it. The other one receives a notice that the slot was just taken, along with the updated list of free slots.

Does this eliminate no-shows?

No. It reduces them, because the customer gets a confirmation and a reminder that's easy to answer, and anyone who can't come lets you know in time to free the slot. There will always be some who don't show up, which is why it's worth recording no-shows and adjusting what you do based on the data.
